Some Printing Options Configured within UI 1.5 GUI

This section briefly describes the various output options that can be selected within Datatel's UI 1.5 GUI.  For more detail, you are encouraged to download the 4-page Financial Information System Printing document (available in PDF format – 136KB). This document includes screen snapshots, usage tips, and other information to help you make an informed decision when choosing your output method.

First Send the Report to a Hold/Browse File
Within User Interface 1.5, you have the ability to output reports to several formats. In order to use the formats listed below, it is strongly recommended that you first send the report to a Hold/Browse File and view the report on your screen using Datatel's Report Browser. The Hold/Browse File is selected in the Printing Parameters screen at the Peripheral Device field. The Hold/Browse File serves a very important purpose – it gives you the ability to preview exactly what your report will look like before it is printed. If necessary, you can then go back and make any changes to your report parameters.

When the report looks the way you want it to on the screen, you can then send it to the printer using the print local option (#1). Another option includes saving a report's output to a local file (#2) and then opening and manipulating it in another application.

Option #1 – Send Output to a Local Printer
Choosing the Print Local option sends the output of your report to a printer defined on your Windows desktop. Important: In testing, some 600 series HP printers have not worked with the Print Local option. If this happens to you, call the Datatel Assistance Desk at 8-2270.

Option #2 – Saving Output to a Local File
Saving a report's output to a local file allows you to then import that file into another application such as Microsoft Word or Excel.  Once the data is imported into Word or Excel, you can further format the data, embed the report within a memo, create graphs, print, etc.

Option #3 – Send Output to a Print Spooler
We recommend that users do not use RPM to print reports created with UI 1.5 GUI. RPM is still the option of choice for UI Terminal (wIntegrate – Datatel's character mode interface).

Screen Snapshots
A freeware screenshot utility, Gadwin PrintScreen, can be used successfully with Windows 2000 and Windows XP. You may use this application to produce rapid printouts of single-page reports or if you want to capture the settings you used on a particular screen for future reference. This freeware application is available on the Gadwin Web site. If you work in a unit supported by AIS Systems Support (VPFP, UA or Athletics), please contact the Systems Support staff at (309) 438-5740. They will install the application and explain the features. If you work in any other department on campus, with your LAN coordinator's approval you may install this application yourself or contact your technical support staff. Instructions for installing and using Gadwin PrintScreen can be viewed or downloaded as a PDF document (27 KB) or as a Word document (28 KB).

OR

When working on PCs you can produce screen snapshots by depressing the ALT and Print Screen keys at the same time to capture the active screen or you can just hit the Print Screen key to capture the entire desktop. You should then paste the contents into a blank Word document or WordPad.

OR

A small freeware screen capture utility (~115.2k self-extracting ZIP file) formerly known as "PrintNow" is available, but some users have reported problems using this utility with Windows 2000 and Windows XP. 

Sending Output via E-mail
An alternative to printing a report is to send it via e-mail. On a configuration screen, you can specify up to 10 e-mail recipients of your current report. The recipients of the report can then choose to either view the report in their e-mail program (and keep the message for historical purposes) or print it out as they may do with other e-mail messages.

Since the steps to utilize this option are slightly different from those mentioned above, a separate e-mail instructional document (92KB) has been created.  It is available in PDF format. There have been some minor formatting problems with reports that are e-mailed, so please read these instructions before e-mailing a report.
